This Privacy Policy explains how SendGladly (“we,” “us,” or “our”) collects, uses, and shares personal information when you use sendgladly.ca and submit our website forms.
It is written for a small Canadian business and is meant to be clear and practical. It is not legal advice. Privacy and anti-spam rules change. If you need formal compliance advice, please consult a qualified lawyer.

This policy covers personal information collected through this website, including our founding-campaign application form and our updates form. It does not cover future email or outreach campaigns that are not described here; those would be addressed separately if and when we run them.
What we collect
Information you provide
Application form (business contact and campaign details you enter), which may include:
- name
- work email
- company name
- company website (optional)
- city or region
- role
- what the company sells
- approximate typical customer value
- intended prospect count
- description of target prospects
- approximate pilot budget
- desired timing
- optional notes
- your affirmative consent to be contacted about the application
Updates form, which may include:
- email address
- company name (optional)
- your affirmative consent to receive occasional updates
Consent checkboxes on these forms are unchecked by default. We do not require you to consent to marketing updates in order to submit an application.
Technical information
When you visit the site or submit a form, our hosting and email providers may automatically process limited technical data such as IP address, approximate location derived from IP, browser/user-agent, device or network metadata, timestamps, and security or diagnostic logs. We do not intentionally use these logs to identify you for marketing.
Analytics
We may use limited, privacy-conscious analytics to understand site usage (for example, button clicks, form start/submit events, or FAQ opens). We intend that analytics not include the contents of form fields or other answers you type into the forms. If we enable a third-party analytics tool, we will update this policy to name it.
What we do not do on this site
- We do not sell personal information.
- We do not offer user accounts or payment processing on this landing page.
- We do not claim SOC 2, ISO, or similar certifications.
Why we collect it
We collect and use this information for purposes such as:
- reviewing applications and assessing fit for a founding campaign or pilot
- contacting you about your application and related operational messages (scheduling, clarifying questions, follow-up on your submission)
- sending occasional commercial electronic messages (updates) only if you have opted in via the updates form
- operating, securing, troubleshooting, and improving the website
- meeting legal, regulatory, or dispute-related obligations where applicable
We aim to limit collection to what is reasonably needed for these purposes.
Consent and your choices
Where we rely on consent, we ask for express, affirmative consent (for example, an unchecked checkbox you choose to tick).
- Application consent covers contact about that application and related follow-up.
- Updates consent covers occasional email updates you requested.
You may withdraw consent for optional uses (such as updates) by emailing hello@sendgladly.ca with the subject line Privacy request or Unsubscribe. Withdrawal does not undo processing already completed lawfully, and we may need to keep a minimal suppression record so we do not contact you again by mistake.
You can also ask us to stop application-related contact; we will honour that, subject to any messages already in transit and any limited records we need for legal or operational reasons.
Electronic messages (CASL)
Canada’s Anti-Spam Legislation (CASL) may apply to commercial electronic messages.
- Updates: If you opt in, we intend to send occasional updates to the email you provide, and to include a way to unsubscribe or an easy way to ask us to stop.
- Application follow-up: Messages that respond to your application or continue that conversation may be treated as inquiry- or relationship-related messages rather than separate marketing subscriptions. You can still ask us to stop by emailing hello@sendgladly.ca.
We aim to design our messaging practices carefully; this summary is not a guarantee of CASL compliance in every circumstance.
Sharing and service providers
We use service providers to host the site and deliver form notifications. Depending on configuration, this may include:
- Vercel (or a similar host) for website hosting and related infrastructure
- Google (Gmail SMTP) to email form submissions to us from an address such as hello@sendgladly.ca
- other delivery tools (for example a transactional email API or webhook endpoint) only if we configure them, in which case we intend to update this policy
These providers process information on our behalf to provide their services. We do not sell your information. We may disclose information if required by law, to protect rights and safety, or in connection with a business transfer, if one occurs.
How we protect information
We aim to use practical safeguards appropriate to a small business landing page, including:
- HTTPS for the website in normal production use
- validation, basic abuse controls (such as honeypot, rate limiting, and Cloudflare Turnstile), and related server-side checks where implemented
- limiting who has access to the mailbox that receives submissions
Important limitation: For this validation stage, form submissions are primarily delivered and retained as email messages to our operator inbox. Email is not a specialised privacy vault. We intend to use account security features available to us (such as strong authentication on the mailbox) and to avoid unnecessary forwarding or copies.
No method of transmission or storage is perfectly secure. If we become aware of a breach that creates a real risk of significant harm, we intend to take steps consistent with applicable Canadian breach-reporting expectations, which may include notifying affected individuals and/or the Office of the Privacy Commissioner of Canada where required. We do not promise fixed public timelines beyond what we can reasonably meet.
Retention
We aim to retain:
- Application information for up to 24 months after submission (or earlier if we no longer need it), unless a longer period is required for legal, security, or dispute reasons
- Updates list information until you unsubscribe or withdraw consent, plus a minimal suppression record so we can honour that request
When retention ends, we aim to delete or de-identify information in a practical way given that email may be our primary store (for example, deleting or archiving the relevant messages).
Access, correction, and withdrawal
You may request access to, or correction of, personal information we hold about you, or withdraw optional consents, by emailing hello@sendgladly.ca with the subject Privacy request.
We aim to respond within a reasonable time and in line with applicable Canadian privacy expectations. We may need to verify your identity before fulfilling a request, and some exceptions may apply under law.
Storage outside Canada
Our service providers (including website hosting and email) may process and store information in the United States or other countries. Those countries may have different privacy laws than Canada, and foreign courts, governments, or law enforcement may be able to obtain access under local law.
By using the site or submitting a form, you acknowledge that this kind of cross-border processing may occur. This notice is not meant to waive rights you may have under Canadian privacy law.
Children and audience
This website is intended for business adults (18+) exploring a B2B service. We do not knowingly collect personal information from children.
Changes
We may update this policy from time to time. We will change the “Last updated” date above. For material changes, we aim to provide additional notice on the website where practical.
